Commercial stock

When actual sales differ from commercial plans

Retailers and e-commerce organisations purchase stock based on sales forecasts, planned sales and desired customer availability. When actual demand is lower or distributed differently across products and channels, certain items may remain available longer than expected.

The products may remain new and fully saleable while quantities no longer fit current stock turn or desired stock levels. Continued sale through shops or the webshop then requires increasing time, warehouse space and commercial attention.

Seasonal remnants, promotional stock and range changes

Retail ranges change regularly with seasons, temporary promotions, product launches and adjustments to shop or webshop collections. Once such a sales period ends, remaining stock may fall outside current presentation and purchasing plans.

This may include items left after a season, additional promotional stock not fully sold or products making way for a new specification, packaging or collection. The goods may remain new and fully saleable while further sale through the regular channel no longer fits the desired positioning.

Different items and remnants may be offered together as one defined stock lot. You do not need to create a separate offer for every promotion, collection or range change.

Commercial stock

Returns stock and different product conditions

Returns stock may include unopened customer returns, opened but complete products, items with packaging damage, inspected B-stock and goods whose condition has not yet been fully established. A return is therefore not automatically used, damaged or unsaleable.

Different conditions may be offered together. Preferably do not combine them under one average quality description; state the quantities or percentages per condition code or category and the basis for classification.

Existing returns reports, condition codes, photographs and samples may be used as a starting point. Identify any uninspected portion as unknown condition. Known defects, missing components and safety or quality notices must always be stated separately.

Stock & Trade then assesses the actual composition of the complete stock and identifies the additional information needed.

Commercial stock

One-off remnants and recurring returns flows

Retail or e-commerce stock may become available once following a season, promotion, range change or sales-channel change. We then assess the current stock as one separate, defined position.

Returns, B-stock and products with packaging damage may instead arise periodically during normal operations. If the first stock lot is sufficiently suitable, we can discuss a fixed working method for submitting and assessing subsequent lots.

Arrangements may cover contacts, file formats, condition classifications, submission times and availability for transfer. Every new position is assessed against its actual composition and current circumstances.

Stock distributed across distribution centres, shops and returns locations

Retail and e-commerce stock may be distributed across a central distribution centre, individual shops, returns locations or an external logistics provider. These goods may be submitted together; physical consolidation is not required before assessment begins.

For each location, state the items and quantities, the condition classification used and when the goods are available. If shops or returns sites use different records, existing files and codes may be submitted separately.

It must also be clear which legal entity owns and may sell the stock. If parts belong to different group companies, we assess whether one coordinated process is possible or separate arrangements are required.

Following assessment, we determine which locations may form part of a potential purchase and what arrangements are needed for consolidation, preparation and, where applicable, transport of the goods actually purchased.

Which stock data supports the assessment?

An existing export from the stock, order or returns system may be used as a starting point. You do not need to combine the data manually into a new format for first contact.

Where available, provide:

  • internal item numbers and EAN, SKU, model or type numbers;
  • brand, product description and product group;
  • quantity per item and stock location;
  • sales, packaging or logistics unit;
  • current sales status, such as regular, end-of-line or discontinued;
  • condition or quality code with a brief explanation;
  • breakdown between new, unopened return, opened packaging, packaging damage, inspected B-stock and unknown condition;
  • return reason or inspection performed, where recorded;
  • known defects, missing components or discrepancies;
  • shop, distribution centre, returns location or logistics provider;
  • available returns reports, samples, photographs or other condition evidence.

Not every field needs to be complete for all items at first contact. Preferably share the current files and records already available. Stock & Trade then identifies which additional information is genuinely needed.

Direct purchase of the defined retail stock

Stock & Trade buys the agreed retail or e-commerce stock directly from the legal entity that owns the goods and is authorised to sell them. The defined position may include different items, conditions and stock locations.

The items, quantities, condition categories and locations included are specified in advance. Arrangements for sales countries, channels, brand presentation or resale timing become part of the transaction only where clearly agreed beforehand and workable.

Following transfer, Stock & Trade assumes responsibility for further commercial handling and the resale risk. The goods are therefore not sold individually on the retailer’s or e-commerce organisation’s behalf.
