When is a stock flow recurring?
This creates an efficient, familiar relationship in which new stock can be submitted and assessed quickly through clear arrangements and short lines of communication.
A stock flow is recurring when surplus stock arises again within an organisation with some regularity. This may happen at fixed times or depend on returns volume, range changes, project completions, seasons, or production and sales developments.
Scale and composition need not be the same every time. One submission may mainly contain returns, while the next contains discontinued items, packaging damage or warehouse surplus. The interval may also vary.
The defining feature is that it does not stop with one lot and saleable stock is likely to become available again. A standing method can then help make new submissions clear more quickly.
It is not a fixed quantity or frequency, but the recurring nature of the stock that makes the flow structural.

What recurring stock flows can be submitted?
They may consist of different kinds of saleable commercial non-food stock, including:
- periodically accumulated returns stock and B-stock;
- recurring overstock or production surplus;
- discontinued items from regular range changes;
- residual seasonal stock or recurring project surplus;
- products with packaging damage, cosmetic differences or changing condition;
- mixed stock with multiple brands, models or product groups.
Goods and quantities need not be identical in every submission. A flow whose scale, composition or condition breakdown changes by period can also use a standing method.
Stock with a changing composition can still form one recognisable recurring flow.

Begin with one existing stock submission
An ongoing relationship can begin with one specific submission. It gives us insight into the products, composition, condition, quantities and practical characteristics of the flow.
We also discuss why the stock arises, how often similar lots may return and when goods are normally submitted. This lets us determine the information and method best suited to future lots.
No complete process needs to be set up in advance. Existing lists, warehouse exports, condition codes and photos usually provide a useful starting point. An efficient recurring method can then be developed step by step.
One current stock submission can be the practical starting point for a long-term relationship.

A standing method for new submissions
Where new stock arises regularly, we can agree how it is submitted and discussed, such as a regular contact, recognisable file format and clear requirements for product, condition and logistics data.
The method aligns as far as possible with the data already available in your organisation. A separate file need not be created for every lot and employees know which information is required.
We can also agree submission times and how follow-up questions, checks and practical coordination are handled. When expected volumes and transfer dates are broadly known, collections can be prepared in good time and combined where suitable. This creates a clear process for both organisations.
Standing arrangements make it easier to present new stock quickly and completely.

What information is supplied for each submission?
For every new submission, we receive a current overview, preferably including:
- item or model data and descriptions;
- quantities by item;
- condition and known differences;
- relevant product and packaging photos;
- location of the goods;
- date from which transfer is possible;
- any resale conditions or restrictions.
The precise information depends on the nature and composition of the flow. If your organisation uses fixed condition codes, exports or other records, we can align the submission with them as far as possible.
Only the current stock needs to be supplied. Interim reports are unnecessary when no new goods are being offered.
A recognisable set of current data makes every new submission easier to understand and discuss.

As we become more familiar with the flow, products and internal method, new submissions can be assessed more precisely. Earlier experience helps us identify particular features and ask targeted questions.
Commercial options may vary. Composition, quantities, condition, generation and current demand determine the purchase form and conditions suited to that submission.
Assessment within the standing method combines continuity in the relationship with room for the characteristics of each new lot.

Commercial arrangements for recurring submissions
Within an ongoing relationship, we can agree standing principles for commercial handling, including the structure of an offer, its conditions, confidentiality, resale restrictions, payment and transfer.
For each new submission, we then agree the goods, price and timing. Earlier transactions and knowledge of the flow can speed up a suitable offer while accounting for the current composition, condition and market.
Where quantities or goods may change until shortly before transfer, we agree when the final submission is established and how differences are handled. Commercial arrangements therefore remain clear even when the flow moves in practice.

Difference from a one-off stock lot
A one-off lot concerns one specific submission available at that time. After assessment, agreement and transfer, that transaction is complete.
With a recurring flow, similar or different surplus stock is expected to arise again within the same organisation. We can build on experience and make standing arrangements for contacts, information and practical coordination.
The difference does not necessarily lie in the scale or composition of one lot, but in its recurring nature. A relationship that begins with one submission can also develop into a standing method.

Frequently asked questions
What happens when a new submission is not a fit?
We discuss whether another boundary, timing or composition could work. If no agreement is reached for that specific lot, the standing method for future stock need not end.
Can several locations or business units use the same method?
Yes. We can agree one shared method or additional arrangements by location or unit. Each submission must clearly state where the goods are, who offers them and how invoicing and transfer will work.
Can stock-data submission be automated later?
Where stock is submitted regularly and there is sufficient benefit, we can investigate more efficient use of existing exports or systems. The relationship can first begin practically with the files and data already available.
